Case study · In production

One system running every outlet.

A retail business operating multiple outlets on one inventory and point-of-sale system. Stock, sales and pricing stay in sync across every branch, with central warehouse control and full visibility of what is selling where.

The problem

Every outlet had its own version of the truth.

With separate stock counts per branch, nobody could say with confidence what was on hand, what had sold, or where a product was needed. Transfers between sites were informal and untracked, so stock went missing without anyone noticing until an audit.

  • Stock counted differently at each branch, with no single figure
  • Transfers between outlet and warehouse that nobody could trace
  • Prices and product details that drifted out of step across sites
  • No way to see which outlet was performing and which was not

What was built

A single system for stock, sales and pricing.

One place where every outlet's stock, sales and pricing live, with the warehouse at the centre.

Multi-outlet stock

Stock levels by outlet and by warehouse, with one reconciled figure the business can trust.

Transfer control

Dispatch, transit and receiving tracked and approved, so movement between sites is visible.

Sales visibility

What is selling, at which outlet, today and over time — without waiting for a manual count.

Low-stock alerts

Items running out are flagged before they become a lost sale at the counter.

Reports for the owner

Profit, sales and performance reporting that turns daily activity into a decision.

Roles and control

Different access for owner, manager and sales staff, so the right people see the right things.

The outcome

Shrinkage became visible instead of assumed.

Once every movement is recorded and approved, stock that goes missing shows up as a discrepancy rather than an unanswerable question. The business stopped reconciling by guesswork.

  • One stock figure across outlets and warehouse
  • Transfers tracked from dispatch through to receipt
  • Sales and profit visible per outlet, not just in total
  • Low stock flagged before it costs a sale

A note on honesty

About these screens.

The client is not named here, and the screens shown are from a de-identified demonstration environment populated with synthetic data. The system described runs in production; the figures on screen are illustrative and are not the client's real numbers. This is how we show real software without exposing a client's business.
